Position Overview

Positive Adventures has an immediate need for a full-time (40 hrs. a week), extremely organized Outdoor Education Program Coordinator for our Outdoor Education Operations Team. This person is highly flexible and thrives working in a creative, entrepreneurial, fast-paced environment.

The Program Coordinator must be detail-oriented, tolerant, not easily distracted and can manage multiple tasks while meeting deadlines. We are looking for someone who works well with the team but that can easily transition to work independently, oftentimes anticipating and completing tasks prior to them being assigned. They must possess the ability to clearly communicate not only face to face but also electronically via email and telephone with multiple people such as clients, teammates, and vendors.

Job Function Detailed Responsibilities

  • School Client Management
    • Work in conjunction with the sales team to grow school accounts 
    • Manage the logistical relationship for all trips under one school account
    • Support and review proposals and contracts for new and repeat business
  • Program Coordination 
    • Creation and management of student participant packets from pre to post program
    • Creation of schedules and program plans to ensure safety and standards for staff and client needs
    • Establish staffing numbers and work with the Director of OE to staff programs
    • Single day permit management for state parks and special events
    • Curriculum design and goal development and implementation
    • Risk management evaluation in conjunction with the Director of OE
    • Attend pre-trip CD phone calls in conjunction with the Director of OE
    • Staff programs in conjunction with the Director of OE
  • Logistics Management
    • Oversee program pack outs and quality control
    • Food buy generation and quality control
    • Vehicle reservation
    • Camp Docs management
    • Monitoring client intake forms
    • Processing post program paperwork
      • Staff evaluations
      • Incident reports
      • Client feedback
  • Warehouse Responsibilities
    • Work in conjunction with the logistics coordinator to ensure a successful and efficient pack out and food buy

Necessary Minimum Position Qualifications:

  • Excellent communication skills, including writing, proofreading and speaking.
  • Ability to manage multiple projects and work assignments.
  • Excellent interpersonal skills both in person and by phone, with positive professionalism.
  • Fantastic customer service ethic and high expectations for quality.
  • Bachelor’s degree preferred; significant work experience can substitute for the degree.
  • At least 2 years experience with office administrative management.
  • At least 1-year of experience coordinating special events.
  • Excellent at using the latest versions of Microsoft Word, Excel, & PowerPoint for MAC’s.
  • Proficient with Adobe Acrobat.
  • Experience with the G-Suite for email, calendar use, and file management
  • Must be able to provide at least a 1-year minimum commitment.
  • Must have own transportation and be able to lift up to 50 lbs.

Compensation:

Competitive hourly rate. Seasonal Overtime required. Benefits include health, vacation, wellness stipends and hybrid work flexibility.
